Job Summary

Scale:                                    Surrey Support grade S7 - £27,099 to £29,912 pa FTE


Responsible to:                Headteacher     


Hours of Work:                 20 hours per week, term time plus 4 weeks


Key responsibilities


  1. To set up and maintain systems, procedures and routines to ensure that the school budget is managed efficiently. 
  2. To ensure requirements and deadlines required by TKAT are met.
  3. To ensure best value in purchasing services for the school.
  4. To manage, develop and deploy the administrative and premises staff.
  5. To liaise with TKAT central office in matters relating to personnel, audit regulations, finance and statistical returns.
  6. To be responsible for the premises management of the school.
  7. To be responsible for Health and Safety matters regarding the school premises.
  8. To be part of the Leadership Team.


Key accountabilities


  1. Ensuring the smooth-running of all administrative processes.
  2. Overseeing the work of the Site and Premises Manager and the service provided by his/her staff.

3.To be responsible for the development and management of the school accounting function, ensuring its efficient operation according to agreed procedures and to review and develop those procedures as necessary. 

  1. To provide financial information for the development of the school budget, providing advice for the Headteacher and Governors on the setting of the school budget.  To attend Governors’ sub-committee meetings as required.
  2. To prepare the annual school budget and amend/update during the year as required.
  3. To be responsible for the preparation of all school accounts for audit and liaise with the TKAT Finance team or auditors as appropriate.
  4. To develop and monitor all accounting procedures and resolve any problems
  1. Oversee the ordering, processing and payment for all goods and services provided to the school.
  2. The operation of all bank accounts, ensuring that full reconciliation is undertaken at least once per month.
  3. Maintain an inventory of assets.
  4. Preparation of invoices and collection of fees, taking action when necessary to recover bad debts.
  5. To oversee the use of cashless receipts from parents.
  6. Meet the deadlines set by the TKAT Finance team
  1. To be responsible for financial returns to TKAT including the GAG summary Report.
  2. To manage the financial aspects of the letting of the school premises.
  3. To maintain salary information.
  4. To provide finance procedures, advice and support for the Leadership Team, Heads of Department and teaching staff.
  5. To be responsible for school insurance policies; handling any claims that arise.
  6. To negotiate, manage and monitor contracts, tenders and agreements for the provision of support services.
  7. To generate income for the school.
  8. To maintain the Register of Business Interests.
  9. To develop and manage the administrative function including school reception, records, reprographics, word-processing, and desktop publishing.  To have an overview of the quality of printed material produced for internal and external use.

17.To be responsible for HR matters relating to all staff.  To maintain confidential staff records.  To advise staff regarding salaries, expenses, sickness and maternity procedures.

18.To be responsible for all matters relating to the school premises.

  1. To be responsible for Health and Safety matters regarding the school premises.




Any other duties as may reasonably be required from time to time, commensurate with grade and/or level of responsibility of the post.
